Why Can’t I Have One HotSchedules Login for all the Locations I Work At?

Life is hard, am I right? How are we supposed to pay for things like rent, tuition or student loans, pizza, or the latest Air Jordans? Sometimes we have to work more than one job to meet the tough demands of adulthood …

But what if both jobs use HotSchedules?

Isn’t there a way to have one login for both accounts?

As simple as the idea might sound, the way HotSchedules creates accounts is a tiny bit more complex. You see, in most cases, a company’s HotSchedules site is integrated with its Point of Sale system (Aloha, PosiTouch, Micros, etc …). This allows daily Sales and Labor figures to be imported into HotSchedules which allow managers to do cool things like schedule the right amount of people. (Blindly scheduling employees leads to smaller sections which leads to less money for life’s necessities.)

How does this relate to your multiple HotSchedules logins? Well, along with Sales and Labor, Employees are also imported into HotSchedules from the POS. When you get hired at a restaurant, the manager enters your information into the POS for record-keeping purposes. The next time the POS and the HotSchedules site talk to each other, an account is created for you. Remember when you were hired, and the manager gave you a Welcome to HotSchedules paper with a temporary username and password?

The bottom line is that each HotSchedules account is directly related to the site it was created for. I get it; it’s kind of annoying to have to log in and out of accounts for each restaurant you work at to check your schedule, but here are some tips that might make life a little easier:

    • You only have to have unique usernames for each account, so keep the password the same.

    • Make your username something specific to the restaurant it’s for. TaylorSwift_Chilis and TSwift_Outback.

    • You can only register your phone number to receive text messages with one account, but you can register your email address with multiple accounts. Simply navigate to the Settings tab on each account, click on the Personal sub-tab, and then click Edit next to Contact Information.

Once you’ve entered your information in the pane on the left-hand side of the screen, you’ll have to confirm your email address, but you can then navigate to the Preferences sub-tab to customize what notifications you receive through your personal email, and you can even sync your schedule to a Google Calendar!
