If we had a penny for every time someone said “I love taking inventory,” we’d be pretty poor. But that doesn’t mean inventory management isn’t one of the most important tasks a restaurant has to do!
The reason inventory is such a painful process is because it’s often riddled with discrepancies and most definitely a few curse words.
As you might expect, restaurants with a smooth, streamlined process have less purchasing, receiving, reconciliation and waste issues. Which is why HotSchedules Inventory (formerly known as HotSchedules Count) was created. We wanted to build a simple-to-use, mobile inventory management system that makes the unpleasant task of counting, managing and taking inventory a little more, dare we say, enjoyable.
HotSchedules Inventory is an inventory management tool you’re actually going to love. Adding menu items, organizing your vendors and building your recipes is as easy as moving your music around in your Apple playlist; even your non-techy team members will get it.
With today’s release, we’re getting a little closer to nirvana with the launch of a few highly anticipated Inventory features including long awaited recipe enhancements, improved ordering and receiving features, the introduction of function-based permissions, and a few new services to get you started even faster.
Here’s what’s new:
Recipe Enhancements to Improve Food Cost Management
Need to organize your recipes in a new way? All of that gets easier with recipe categories. Create as many categories as you need to improve maintenance and management of your recipes.
Tired of spending way too much time trying to determine the amount of ingredients that make up those three ounces of salsa in your taco entree? Or what goes into just one piece of pizza? Now you don’t have to struggle with those batch conversions. This is one of our favorite updates in this release. Build a recipe once and easily drag and drop that recipe into another to build a master or batch recipe. This is really helpful when you’re creating sauces, selling pizza by-the-slice, or serving lasagnas and other portioned items.
Counting Recipes or Batches with Automatic Depletions
Building batches are just part of the equation, accounting for what has been sold as part of that batch is where you really start to uncover any variances in what you’ve sold versus what on-hand inventory you have. With the new batch recipe features, you can easily and more accurately track depletions and count remaining on-hand portions of batch recipes.

Ordering and Receiving Improvements That Help Eliminate Waste or Excess Inventories
Catch-Weight Variance Tracking
Restaurants throw way too much money in the dumpster because they’re not tightly monitoring their purchasing, receiving, and inventory processes. Keeping everything in check is especially important when tracking high-value items like meats and cheeses that can sometimes be received in quantities that vary in weight from order to order. Now you can keep track of those supplier catch-weight variances and track those differences to keep your on-hand and receiving reports even more accurate.
Did you get a few extra bottles of liquor from your favorite supplier? No problem, receive and account for bonus items easily in your inventory.
Control Who Sees What
Sure, you want to give the power to the people, but it needs to be the right people. Inventory now comes equipped with function-based permission settings that make it easy to grant access to certain employees to prevent duplicate work, and streamline store workflows.
More Updates That Will Make a Big Difference
What’s to Come
In addition to all of the great new bells and whistles, no release would be complete without a head-nod to the extra usability features that make you feel all warm and fuzzy. For current Inventory users, you’ll notice:
Improved navigation in the mobile app The ability to now set your par levels at fractional quantities An easy function for adding multiple items into a count or recipe Improved vendor-status labeling to distinguish between the vendors you are actively ordering from versus those that are not active or disabled.
